Demo site — Monje & Vendavales Ltd runs this. Built on the QUOTING FLOW template.
Demo content — replace before going live

QUOTING FLOW is a demo template. It powers a customer quoting & booking site plus an internal admin area for assigning jobs and storing staff/employee records. These terms are a sample — swap in your own business details, deposit/payment rules, guarantees and governing law. Sections marked Demo — customisable are the ones you’ll almost always want to edit. This template is not a substitute for legal advice.

Terms & conditions

Last updated: July 2026

1. Who we areDemo — customisable

“We”, “us” and “QUOTING FLOW” means QUOTING FLOW, registered in England (company registration number 16656422). You can contact us at hello@your-company.com. “You” means the customer named on the quote.

2. About these terms

These terms apply whenever you ask us for a quote through our website, by phone, by message or in person, and when we supply and fit flooring for you. By sending us a quote request or accepting a quote from us, you agree to these terms.

3. Quotes and estimates

  • The price we send you after a website enquiry is an estimate based on the measurements, photos and material you gave us.
  • We’ll normally arrange a free pre-inspection visit to confirm the measurements, the sub-floor condition and any extras (door bars, transitions, awkward corners) before we book anything in.
  • If the pre-inspection shows different measurements or extra work is needed, we’ll tell you the revised price before booking. You don’t have to go ahead.
  • Unless we say otherwise in writing, a quote is valid for [30] days from the date we send it.
  • Quotes are for the specific rooms, material and colour listed. Changes may change the price.

4. What’s included in the price

Unless the quote says otherwise, our price for a domestic job includes:

  • Underlay suitable for the room
  • Door bars / thresholds
  • Grippers
  • Fitting labour

5. What’s not included

The following are not included unless we’ve agreed them in writing:

  • Removing and disposing of old flooring or other rubbish
  • Moving heavy furniture, white goods or appliances
  • Uplifting fitted units, kitchen kickboards, radiators or doors
  • Levelling or repairing sub-floors, damp treatment or floor preparation beyond a light sweep
  • Any works to skirtings, painting, or electrical/plumbing changes

Rooms must be clear and ready when we arrive. If they aren’t, the fitter will add an individual charge on the day to remove items and make the room ready for fitting.

6. Deposit and payment (domestic)Demo — customisable

  • To book a fitting date we ask for a 50% deposit. Your slot is only held once the deposit clears.
  • The balance is due on the day of fitting, once the job is finished and you’re happy with it.
  • We accept [bank transfer / card / cash — list your methods]. Bank details are on the invoice; please quote your name as the reference.
  • If measurements change at pre-inspection, the deposit will be applied to the revised price.

7. Commercial and contract workDemo — customisable

  • Commercial, letting-agent, landlord and multi-site contract prices are agreed on a per-job basis after a phone call and site visit.
  • Payment terms for commercial customers are [net 14 days] from invoice date unless we’ve agreed otherwise in writing.
  • For contracts running over multiple properties or a fixed term, the contract length agreed on the enquiry (weeks, months or years) is confirmed in your written quote.
  • Late payments may attract interest at [8% above the Bank of England base rate] under the Late Payment of Commercial Debts (Interest) Act 1998.

8. Materials, samples and colour

  • Carpet, laminate, lino, safety flooring and astro can vary slightly in shade, pattern and pile between batches. Small variations are normal and aren’t a defect.
  • Samples are indicative — the fitted floor may look slightly different in your lighting.
  • Once we’ve ordered a bespoke or cut-to-size material for your job, that part of the price is non-refundable.

9. Booking, access and timings

  • We’ll agree a fitting date once your deposit has cleared. Timings on the day are estimates — traffic, previous jobs and site conditions can affect arrival times.
  • You’ll need to give us safe access and, where relevant, parking, electricity and water. If access is refused or unsafe on the day, we may have to reschedule and charge a call-out fee (see section 5).
  • If you need to reschedule, please give us at least [48 hours] notice. Late cancellations may mean losing part of the deposit to cover ordered materials and lost slot time.

10. Your right to cancel (consumers)

If you’re a consumer and you agreed to the work off our premises (for example after a home visit or online), you normally have 14 days to cancel under the Consumer Contracts Regulations 2013.

  • If you asked us to start the work during the 14-day period, you may have to pay for the work already done and any bespoke materials ordered.
  • To cancel, contact us by email at hello@your-company.com.

11. Our workmanship guaranteeDemo — customisable

  • We guarantee our fitting labour for [12] months from the date of installation against faults caused by poor workmanship.
  • Materials are covered by the manufacturer’s own warranty, which we’ll pass on to you.
  • The guarantee doesn’t cover normal wear and tear, damage from accidents, spills, pets, dragging heavy items, unsuitable cleaning products, water/damp problems from the property, or work altered by anyone else after we’ve fitted.
  • If something isn’t right, tell us as soon as you notice it and we’ll come and take a look.

12. Aftercare

Please follow the manufacturer’s cleaning and care instructions for your material. New carpets naturally shed loose fibres for the first few weeks — regular gentle vacuuming is normal and expected.

13. Our liability

  • We take reasonable care in your home or site. If we damage something through our negligence, we’ll put it right or cover the reasonable cost of repair.
  • We’re not liable for pre-existing issues (uneven floors, damp, rotten boards, hidden pipework or cables) or for damage that couldn’t reasonably have been foreseen.
  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or anything else that can’t be limited by law.
  • Our total liability for any job is limited to the price you paid us for that job, except where the law says otherwise.

14. Photos of finished work

We may take photos of the finished floors for our website and social media. We won’t include your name, address or anything that identifies you. If you’d prefer we don’t, just tell us at booking or on the day.

15. Privacy

We only use the details you give us (name, address, phone, email, photos of the rooms) to quote for and carry out your job, keep in touch about it, and handle aftercare. We don’t sell your details. See our privacy notice for more.

16. ComplaintsDemo — customisable

If you’re not happy with something, please tell us first — most things can be sorted quickly. Contact hello@your-company.com and we’ll come back to you within [5 working days].

17. Changes to these terms

We may update these terms from time to time. The version that applies to your job is the one published on the date you accept the quote.

18. Law and jurisdictionDemo — customisable

These terms are governed by the law of England, and any disputes will be dealt with in the courts of that jurisdiction.
